Job Description
The Operations Executive will be instrumental in ensuring the seamless execution of projects from inception to completion. This role demands a high level of client engagement, coordination with creative teams, and a commitment to maintaining agile methodologies throughout the project lifecycle. The ideal candidate will be a proactive communicator, adept at problem-solving, and capable of managing multiple projects with competing deadlines.
Key Responsibilities
- Client Handling and Coordination: Serve as the primary point of contact for clients throughout the project lifecycle, ensuring a positive and collaborative relationship.
- Project Delivery: Oversee the execution of projects, ensuring they are delivered on time, within scope, and to the client's satisfaction. Implement agile methodologies to enhance project efficiency and adaptability.
- Briefing and Assignment: Understand and interpret client briefs accurately. Assign tasks to the appropriate team members, ensuring a clear understanding of deliverables and timeframes.
- Calendar Management: Develop and maintain a detailed project calendar, including current and upcoming projects, to ensure optimal allocation of resources and timely delivery.
- Change Management: Quickly adapt to and implement changes in project scopes, schedules, and objectives, ensuring minimal disruption and maintaining project momentum.
- Meeting Documentation: Prepare and distribute minutes of meetings (MOM) for all client and team meetings, capturing key decisions, action items, and project updates.
Requirements
- Bachelor’s degree in Business Administration, Project Management, or related field.
- Proven experience in operations, project management, or a similar role within a creative or marketing agency.
- Strong understanding of agile project management principles and their application in a creative environment.
- Excellent client-facing and internal communication skills, with the ability to manage expectations and build strong relationships.
- Highly organized with the ability to manage multiple projects simultaneously and meet tight deadlines.
- Proficiency in project management software and tools.
- A team player with a positive attitude, capable of working in a fast-paced, collaborative environment.
